Q: How is IComp different than its national competitors?

A: Although we do offer many of the same products as the national competitors, you will not be “lost” in our system. Each client will have a dedicated payroll specialist who is knowledgeable about the account, easily accessible, and can address you by name. IComp also strives to educate our clients about payroll matters so they are empowered to make decisions that benefit their business.

Q: Who do I call if I have a question about my account?

A: Each client is assigned a payroll specialist who is in charge of the account. This specialist will typically be your main contact. In the event your specialist is unavailable, another knowledgeable staff member will be available to address your questions. You will always be greeted by a live person when you call, not an automated directory system, and all calls will be responded to the same day you call.

Q: How do I submit my payroll information each pay period?

A: We offer multiple input methods to match the needs of your company. These options include:

  1. PlatinumPay – Our integrated online payroll solution
  2. Excel PaySheet – A customized Microsoft Excel™ worksheet sent via e-mail
  3. Fax – Fax in using our provided worksheets
  4. Phone – Call us or schedule a time for us to call you
  5. Email

Q: Am I able to enter my payroll online?

A: Yes, we are pleased to offer online entry through PlatinumPay, our integrated online payroll solution.

Q: When do I need to submit payroll?

A: If you are enrolled in any electronic services, we will need your payroll information between two and four business days prior to your check date. During your initial setup, we will work with you to find the optimal time to submit.

Q: What is TaxFree and how does it benefit my company?

A: TaxFree allows employers to automate the process of depositing payroll taxes. Each payroll, payroll taxes -- which include social security, Medicare, federal, state and local income taxes, federal unemployment (FUTA), and state unemployment (SUTA) -- are automatically deducted from your business account. Quarter-end reports, including 941, state income and state unemployment returns, are also automatically filed on your behalf. Benefits to the employer include:

  • Eliminates potential penalties and interest for depositing taxes or filing returns late
  • Taxes get paid and returns filed, even if employer is on vacation, sick, or away on business
  • Alleviates administrative burdens and allows employer to spend more time on revenue generating activities

Q: How does direct deposit work and is it safe?

A: Employee’s paychecks are automatically deposited in their checking and/or savings account on paydate. On payday, employees will receive an earnings statement (voucher) which shows the gross pay, taxes withheld, other deductions or additions, and net pay. Direct deposit eliminates the possibility of lost, stolen, or forged checks and reduces trips to the employee’s financial institution. IComp has partnered with Intercept Corporation for the last 14 years to provide this service to clients. Intercept Corporation has more than 36,000 companies processing transactions with them, and over 30 million transactions each year. They conduct ongoing technology tests, audits and reviews to ensure your data remains safe and secure as well as continuous monitoring of network and risk issues. Intercept stays current with all NACHA rules, standards and procedures and is a member of the Upper Midwest Automated Clearing House Association and sits on the Rules and Technology Committee. They have undergone and successfully complied with both the SAS70 Type II and FFIEC.

Q: When will funds be debited from our account?

A: All clients enrolled in our direct deposit and/or TaxFree services will have funds debited from their designated account(s) one day prior to the check date.

Q: I want to pay my taxes through the EFTPS, how do I know what taxes are due?

A: Each payroll, you will receive a Payroll Liability Report that will list all tax liabilities for the payroll and, if due, the deposit due dates.

Q: Can my accountant or other third party receive copies of my payroll reports?

A: Yes, you can give access to your accountant or other third party through PlatinumPay, or we can generate a customized report packet to deliver to your designated third party on a schedule you determine.

Q: Am I able to import my payroll information into QuickBooks?

A: Yes, please contact your payroll specialist or sales representative. With a little setup and a small fee, we can generate files each payroll for you to import into your QuickBooks.

Q: What is New Hire Reporting?

A: In 1996, Congress enacted a law called the "Personal Responsibility and Work Opportunity Reconciliation Act," or PRWORA, as part of Welfare Reform. This legislation created the requirement for employers in all 50 states to report their new hires and re-hires to a state directory.

Q: Is IComp able to report new hires and re-hires on our behalf?

A: Please notify your sales representative or payroll specialist you would like this service and leave the rest to us.
